Create an Announcement List
Introduction
An announcement mailing list transmits one-way messages, with no direct replies from the group.
If you send product notifications, press releases, policy announcements or client newsletters, as examples, an announcement list does want you need.
In many commercial cases, list members can subscribe and unsubscribe.
In this example, the mailing list is called
Book Club. If you follow these instructions, substituting your own list name and members, you will have set up the basics for an announcement list.
Requirements
You need to know the items requested in the
Options,
Members,
Subscriptions and
Support Files tabs of the
Mailing List Editor dialog. You display this dialog by using the
Lists > New List command.
You also need to setup an address alias for the person who receives responses to the announcement. By setting up an alias, you can send the replies to one or more people. Also, if you have a personnel change, the reply address can stay the same by changing the real address associated with the address alias. You set up aliases by using the
Accounts > Address aliases. . . command.

How To
These instructions apply to a new mailing list.
In this example, the mailing list is called
Book Club, the domain is
ghostwriter.shacknet.nu and the email address alias is
BookClubListReplies@ ghostwriter.shacknet.nu. If you follow these instructions, substituting your own list name, domain, members and account alias, you will have set up the basics for an announcement list.
These instructions begin at the main screen of the MDaemon server software.
- Use the Accounts > Address aliases. . . command. This displays the Aliases dialog.
- Type the alias address in the supplied box.
- Type in the Actual address box the email address of person or select a local email address from the drop down list.
- Use the Add button to create the alias.
- Use the OK button to complete the alias creation process.
- Use the Lists > New List. . . command. This displays the Mailing List Editor dialog.
- Select, if it is not already, the Options tab.
This tab is for entering general information about the mailing list. - Type the list name in the Name box.
- Select a domain from the drop down list. Together, the list name and domain name make up the email address of the list. In the example, the email address is BookClub@ghostwriter.shacknet.nu.
- Type in the List’s “Reply To:” address box the address alias you created. This way, all replies go to the real address associated with the address alias. In the example, the address alias is BookClubListReplies@ghostwriter.shacknet.nu.
- Activate these List Properties:
- This list is private...
- Messages have list name in subject...
- Deactivate these List Properties:
- This list is hidden from the global address book...
- This list responds to EXPN and LIST requests...
- Messages have thread numbers in subject...
- At your option:
- Set the Delivery precedence or keep it at the default 80.
- Select member’s full name for Replace TO: field with
- Deactivate Include List Member in TO Field.
- Set a maximum size limit for messages–or enter 0 (zero) for no limit.
- Select the Members tab.
This tab is for setting membership options and manually adding, changing and deleting memberships.
- Select the Read only membership type, use the Default button and use the OK button in response to the program information dialog. This sets the default list membership type to Read only. With Read only memberships, the users you enter manually and those who subscribe by email will be able to receive messages but not send them.
- For each member:
- Type in the New member email box the email address of the member or select a local email address from the drop down list.
- Type in the New member real name box the real name of the member.
- Use the Add button.
- Add the email address of the person sending the messages. For the sake of privacy, this should be a made up email address, such as BookClubList@ghostwriter.shacknet.nu. Before using the Add button make sure to select Normal membership option. In this way, the person can send out the email messages.
- When you are done adding members, select the Subscriptions tab.
This tab is for setting up subscription options for the mailing list. - Activate the option to Allow people to subscribe to this mailing list via email.
- Activate the option to Authenticate subscription requests.
- If the list is associated with an auto responder, activate the option to Authenticate auto responder generated subscribers.
- Activate the option to Allow people to unsubscribe from this mailing list via email.
- Activate the option to Authenticate unsubscription requests.
- If the list is associated with an auto responder, activate the option to Authenticate auto responder generated unsubscribers.
- Enter a time limit in minutes for subscribers and unsubscribers to respond to the authentication request confirmation messages. After the time limit expires, MDaemon discards the request to subscribe or unsubscribe. The default 7200 minutes is five days in minutes from the time MDaemon receives the request.
- When you are done, select the Support Files tab.
This tab is for entering messages sent to new members—subscribers or those added manually—and setting message header and footer content. In this case you are setting up only a footer.
- Use the Create button associated with the Path to footer box. This opens a dialog for creating the file.
- Navigate to where you want to store the footer file. Enter a name for the footer file and use the Open button to create the file in your system text editor, typically the Windows Notepad.
- Type information such as this:
