These instructions are for all resource types (Such as Conference Room, Projector, Meet Me Line, Training Room, TV etc) for checking the availability and scheduling.
1. You must be on your Outlook calendar.
2. Click on the Plan A Meeting icon, or go to Actions - Plan A Meeting.
3. On bottom, select date and time of meeting you would like to schedule.
4. Go to - Invite others.
5. Make sure your Global Address book is selected, type in the conference room name. (Check the naming convention of all resources with your IT Helpdesk) Select the Conference Room and add it to Resources section, then click OK. This will show availability of the conference room. You must enter the conference room as a Resource.
6. If the conference room is available during the time requested, click on Make Meeting.
***If the conference room is unavailable you will get the following pop-up box:***

7. Type in a subject. Please include your phone number in the body of the request.
8. Adjust the 'Show Time As' field to BUSY
9. Click on Send button or File - Send.
***You will NOT receive any mailed notification of the conference room being Accepted***
This will automatically add the appointment to your calendar.
To respond to an invitation, go to Actions then select - Accept, Tentative, or Decline.
1. Open the original Meeting Notice that is on your calendar by double clicking it.
2. Click on the Attendee Availability tab
3. If you scheduled the conference room as a Resource, you will see "Accepted" in the Response field:
4. If you scheduled the conference room as a Required Attendee, you will see "None" in the Response field, this means theconference room DID NOT schedule your meeting. Someone else can schedule that room at any time:
5. Click the Invite Others button - enter the other attendees in the Required field. (DO NOT REMOVE the CR from the Attendees - you will inadvertently cancel your CR reservation)
6. Click Send Update - you will be prompted as to whether to send the update to only the added or deleted attendees OR to all attendees (including the CR).
To Verify the Room Equipment:
1. Open the address book (Tools - Address Book)
2. In the Type Name or Select from List, enter 'CRUSOH'
3. Right click on the CR you are verifying - click on Properties
4. Click on the Phone/Notes tab. The information is listed in the Notes: section.
To CANCEL a meeting:
From your Outlook calendar:
1. Double click the meeting you want to cancel
2. Click on Actions - Cancel Meeting
You will be prompted to select whether to 'Send cancellation and delete the meeting' or 'Delete the meeting without sending a cancellation'.
ALWAYS send a cancellation notice so the meeting is removed from your calendar, the resource calendar, and any other attendees
3. Click the SEND button to finish the process. If you do not send a cancellation notice - the other invitees will not be aware of the cancellation (including the resource).
